Quick & Effective Documentation – A Case Study
The Problem
A useful documentation system needs to stay current. Be easy to update. And grows along with the organization using concurrent versioning and tracking. Employee transition and training systems also improve manifold with the updated documentation. Further more, if we can ‘automatically’ map these activities as a business process flow, this system will be a game changer. Decisions like process changes, improvements, and automation can be made using this data.
A large Banking customer were ready to try a new automated documentation solution for their enterprise. SurfaceInsight technologies introduced SurfaceAI as a solution.
The Solution
SurfaceAI is safe and secure. It resides on a desktop and stays within the limits of the organization. It does not communicate with any networks or the cloud. Being a large financial institution this was vital.
After the desktop installation, the operators captured their activities as they performed them in real-time. Then the Business Analysts annotated the captures. They used OCR, Text, or Voice as per their preference. The documents use built-in systems to version, track, and store or archive on a location of their choice – shared or private. The customer’s branding was further maintained in the documents with a built-in setup.
The SMEs were happy to see their time and effort drastically reduce as opposed to traditional documentation. They are churning out not only user guides but also Text and Voice annotated help videos in a fraction of the time.
We initially set them up with a simple process map using a patent-pending 6-level taxonomy structure as the first step. This is a one-time easy setup that keeps the whole system in sync and builds up as they continue to use the system. The activity information and SME knowledge gathered during capture are presented in an interactive dashboard. Process flows, Swim-lane diagrams and Time & Motion analysis are also available here. The dashboard also classifies the activities according to their automation-readiness using built-in AI/ML algorithms.
